CHAIR CITY NOTARY SERVICES is an independent mobile notary business owned by Maria Spagos, a commissioned Massachusetts Notary Public who has completed her oath of office. Appointments are arranged in advance and take place at an agreed location that works for the signer.

Mobile notarization by appointment

Maria travels to the signer — a home, a workplace, a care setting, or another agreed meeting place — so the signing happens somewhere familiar rather than somewhere inconvenient.

Common notarial acts

Acknowledgments, jurats, oaths or affirmations, and witnessing of signatures when the signer, identification, document, and requested act meet Massachusetts requirements.

English and Greek appointments

Appointments can be conducted in English or Greek, supporting clear communication about identification, signatures, and the notarial process. Legal advice and document interpretation are not provided.

Every appointment depends on acceptable identification, the signer being present, and the document meeting applicable requirements. If something does not meet those requirements, Maria will say so plainly rather than proceed.

Scheduled mobile notarization for local employers, law offices, accounting offices, and other professionals who need an authorized notarial act completed for a client or employee.

Community and faith organizations

Pre-arranged appointments for members of community groups and faith communities, including English and Greek appointments. Services are independently provided and do not imply an organization’s endorsement.

How fees work

A clear quote, built around the appointment.

The expected total is provided before you confirm. Every appointment receives the same professional care; the price changes only when the work, travel, time, or location requirements change.

  1. Notarial act

    Based on the requested act and the number of notarizations completed during the appointment.

  2. Mobile travel

    Quoted separately according to the appointment address and round-trip travel from the Gardner area.

  3. Additional requirements

    Only when applicable, such as facility coordination, extended waiting, urgent timing, parking, or tolls.

No surprise additions. The written estimate identifies the expected total and any circumstance that could change it. A notarial-act fee is charged only for an act that is completed.

How appointments work

Four unhurried steps.

  1. Request an appointment

    Call or email to share what needs notarizing, how many signers there are, and where you would like to meet. Appointments are arranged in advance.

  2. Confirm details together

    Maria confirms the meeting place and time, the number of signers, and which identification each signer will bring, so nothing is a surprise on the day.

  3. Meet where it suits you

    Maria travels to the agreed location. Signers should bring valid, acceptable identification and the complete, unsigned document unless the document instructs otherwise.

  4. Notarial act performed

    Provided each signer is present, willing, and aware of what they are signing, and the document and identification meet applicable requirements, the notarial act is completed and the notarial certificate recorded.

Appointment policy Cancellation and rescheduling

Appointments may be cancelled or rescheduled without charge when at least 24 hours’ notice is provided.

24 hours or more
No cancellation fee; one courtesy reschedule.
4 to less than 24 hours
$30 late cancellation or rescheduling fee.
Less than 4 hours
50% of the quoted appointment total, with a $40 minimum.
After travel begins
The full quoted travel fee and authorized expenses are due.

If an appointment cannot proceed because of a no-show, unacceptable identification, missing required witnesses, incomplete documents, facility-access problems, or an unavailable or unwilling signer, travel, facility, and waiting fees may still apply. Notarial-act fees are charged only for acts actually completed.

Cancellation is effective when received by telephone, voicemail, text message, or email. Fees may be waived for severe weather, hospitalization, a verified emergency, or another circumstance approved by Chair City Notary Services. The complete expected appointment total and policy will be provided before confirmation.

Availability

Weekday appointments built around a working day.

Weekday appointments may be available before work, during lunch, or after work, by advance appointment. Availability varies week to week and is confirmed when the appointment is arranged.

    Early weekday appointments, arranged ahead of time.

  • During lunch

    Midday appointments for workplace or nearby signings.

  • After work

    Evening weekday appointments when the day allows.

All appointments are by advance appointment only. There are no walk-in or same-hour appointments.
